AI Sales Assistant: The Best Tools by Job a Rep Does

October 24, 2026

Tool Comparisons

An AI sales assistant is software that takes the busywork off one rep's plate: writing up the call, drafting the follow-up, updating the CRM and prepping for the next meeting. That's a different thing from automating your whole pipeline, and the best tool depends on which of those four jobs eats most of your week.

Here's the short version:

  • Call notes, summaries and coaching: Gong, Avoma, Sybill, or Fathom if you want a free note-taker.
  • Writing better sales emails: Lavender.
  • An assistant inside the CRM you already use: HubSpot's Breeze Assistant, Salesforce's Agentforce and Einstein features, or Microsoft's Sales agent in Outlook and Teams.
  • Account research and call prep: your CRM's assistant first, then a general chat model for the rest.

Most reps end up with two: one tool that listens to calls, and the AI that came with their CRM. The rest of this guide goes job by job.

Calls and Meetings: The AI Sales Call Assistant

This is the category with the biggest payoff for a single rep. A call assistant joins your meetings, records and transcribes them, and writes the summary you'd otherwise type up at 6pm. The better ones push notes into the CRM and flag what changed in the deal.

Gong

Gong now calls itself a revenue AI OS. Under that, it captures customer interactions, analyzes what works, and runs agents that handle follow-ups and pipeline edits. It's the tool sales leaders buy for coaching and forecasting, so a rep usually gets it from their company rather than choosing it.

Gong's pricing page doesn't publish numbers. It says licences are priced per user, with a platform fee based on the number of users, and quotes come through a form.

Best for: sales teams where a manager wants coaching and forecast data from every call.

Avoma

Avoma covers notes, scheduling and conversation intelligence in one product. Its pricing page says it charges per recorder seat, with viewers free, and offers a 14-day trial of its Organization plan with no card required. Its entry plan includes unlimited AI-generated meeting summaries and saves notes to your CRM. Call scoring and coaching come in a separate Conversation Intelligence add-on, and two-way CRM field updates need the Revenue Intelligence add-on.

Best for: small and mid-sized teams that want Gong-style features without an enterprise contract.

Sybill

Sybill focuses on what happens right after the call. It says it automates busywork like CRM updates, email follow-ups, proposals and collateral, and learns from past deals to suggest what to do next. There's a 14-day free trial.

Best for: account executives who lose an hour a day to post-call admin.

Fathom

If you just want free AI meeting notes, Fathom's pricing page lists a free individual plan with unlimited recordings and transcriptions and instant AI call summaries. Advanced call summaries and AI-generated action items are listed on its paid Premium plan. It's a note-taker, not a coaching platform, but for one rep that's often enough. If you're comparing note-takers specifically, our Fireflies alternatives post covers the wider field.

Writing Sales Emails: Lavender

Sales email is where generic AI writing does the most damage. A chat model will happily produce a long, polite, forgettable email. A sales-specific email coach does the opposite: it pushes you shorter and more specific.

Lavender's Email Coach scores your email or template and suggests fixes for anything likely to hurt replies. It also pulls prospect data into your inbox to suggest personalization. Lavender says it integrates with Gmail, Outlook, Outreach, Salesloft, HubSpot, Apollo and Gong. The free Basic plan analyzes and personalizes a handful of emails a month, enough to see whether the advice changes your reply rate.

A few habits work with any email assistant:

  • Write the first line yourself. It's the one the prospect reads, and the one AI gets most generic.
  • Cut the AI's last paragraph. Drafts tend to end with a recap the reader doesn't need.
  • Keep one ask per email. If the draft asks for a call, a referral and a reply, pick one.

AI Sales Assistants Inside Your CRM

If your company already pays for a CRM, its built-in assistant is the cheapest place to start, because it already sees your contacts, deals and notes.

HubSpot Breeze Assistant

HubSpot's Breeze Assistant documentation lists it as available across HubSpot products and plans, with some features needing Professional or Enterprise tiers. For a rep, the useful prompts are concrete: research company news for an account, summarize a company's notes, draft an outreach or reactivation email, and prep for meetings once your calendar is connected.

Salesforce Agentforce and Einstein

Salesforce spreads its sales AI across editions. Its Sales AI page describes one-click AI summaries for accounts, opportunities, leads and contacts, Einstein Opportunity Scoring to flag at-risk deals, and Conversation Insights for coaching from calls. Agentforce can update pipeline fields like stage and next steps, research accounts and prep meeting materials. What you get depends on your Sales Cloud edition, with Agentforce for Sales listed on the top Max edition, so ask your admin what's switched on before buying anything else.

Microsoft Sales agent

For teams that live in Outlook and Teams, Microsoft documents a Sales agent that connects to Salesforce Sales Cloud and Dynamics 365 Sales. It summarizes emails with CRM insights, drafts replies using opportunity data, preps you for meetings in Teams, and lets you update CRM records from Outlook. Microsoft's Sales agent FAQ says it's available as part of a Microsoft 365 Copilot licence, and it needs a connected CRM to work.

One rule for all three: check what your company already licenses. It is easy to pay for a separate tool that duplicates something your CRM switched on months ago.

Research and Call Prep

Before a first call, a rep needs three things: what the company does, what changed recently, and who's in the room. CRM assistants now cover the first two from your own records, and HubSpot and Salesforce both pitch account research as a feature. LinkedIn's Sales Navigator adds AI-generated account summaries through Account IQ, plus Lead IQ buyer summaries for meeting prep.

For anything outside your CRM, a general chat model with web search works. Give it the company name and your product, and ask for three likely pain points and one question to open with. Then check every claim it makes against the company's own site. AI research tools state wrong facts confidently, and quoting a made-up funding round to a prospect is worse than no research at all.

What an AI Sales Assistant Shouldn't Do

The line here is between helping a rep and replacing judgment.

Good fit for AIKeep human
Writing up call notes and next stepsDeciding which deals to push and which to drop
Drafting a follow-up you'll editSending anything you haven't read
Updating CRM fields from a callForecast calls you'll be held to

This post is about tools that assist one rep. If you're looking at automating the pipeline itself, with lead routing, sequences and task creation across a team, our guide to sales automation solutions covers that layer, and CRM automation goes deeper on the workflows inside the CRM. AI agents that prospect and send outreach at volume are a separate category again, covered in our AI prospecting agents post.

How to Choose

  • You spend the most time on call admin: Sybill or Avoma. Fathom if you need it free.
  • Your manager wants coaching and forecast data: Gong or Avoma with its add-ons.
  • Your replies are low: Lavender's free plan, for a few weeks, before anything else.
  • You're on HubSpot, Salesforce or Microsoft 365: use the built-in assistant first and see what's left.
  • You need free AI tools for sales: Fathom's free plan, Lavender's Basic plan, and whatever AI your CRM already includes.

Where Taku Fits

Every rep has repeat work that no single sales tool covers, like turning call notes into a mutual action plan or building the same account brief before every first meeting. Taku is an AI-native desktop workspace where you can find an AI app or workflow someone already built for jobs like that, mirror it into your own workspace, and run it again next week instead of re-prompting from scratch. Taku is in Beta, and the Mac app is available now.

FAQ

What is an AI sales assistant?

It's software that handles a rep's routine work: recording and summarizing calls, drafting follow-up emails, updating the CRM, and preparing account research. It assists the rep rather than running outreach on its own.

What are the best AI sales tools for reps?

For calls, Gong, Avoma and Sybill. For email, Lavender. Inside the CRM, HubSpot Breeze Assistant, Salesforce's Agentforce and Einstein features, or Microsoft's Sales agent. Start with the job that takes most of your week.

Are there free AI tools for sales?

Yes. Fathom has a free individual plan for AI meeting notes, and Lavender's Basic plan scores a few emails a month for free. HubSpot lists Breeze Assistant across its plans, though some features need higher tiers. Most paid call tools, including Avoma and Sybill, offer free trials.

What's the difference between an AI sales assistant and sales automation software?

An assistant helps one person do their job faster: notes, drafts, prep. Sales automation software runs processes across a team, like routing leads, triggering sequences and creating tasks. Many teams use both.

Can an AI virtual sales assistant replace an SDR or account executive?

No. AI handles the writing-up and the first draft well. It's weak at judging which deals matter, reading a buyer's hesitation, and negotiating. Use it to buy back time for those parts of the job.

Do AI sales call assistants need permission to record?

Recording rules depend on where you and the other person are, and some places require everyone's consent. Before you turn on a call recorder, see how it notifies participants, and check your company's policy and local law before recording customer calls.
